Service Policy & Disclaimer

This Service Policy applies to services offered by AVA Executive Services. Specific engagements are governed by a written Scope of Work and engagement letter, which prevail if there is any inconsistency.
1. Nature of services
AVA Executive Services provides administrative, executive, coordination and concierge services. AVA does not replace licensed lawyers, tax advisers, accountants, licensed immigration professionals, engineers, medical professionals, aviation technical professionals or other regulated professionals. Where specialist advice is required, AVA may recommend or coordinate with an appropriately qualified professional. The client remains responsible for engaging and paying that professional unless otherwise agreed.
2. Scope of work
Every engagement is defined by a written Scope of Work that sets out included tasks, exclusions, deliverables and responsibilities. Work outside the agreed scope is not included. Material additional work is subject to a revised quotation or change notice. Work proceeds after client approval where reasonably possible.
3. Pricing
All published prices are starting prices in Thai Baht (THB) and may vary depending on complexity, urgency, location and scope. Prices are exclusive of VAT unless expressly stated otherwise. Government fees and third-party expenses are generally excluded unless expressly included in the quotation.
A deposit may be required, with the remaining balance payable according to the agreed schedule. Retainers are billed monthly in advance. Rush, same-day, weekend, public-holiday or out-of-area work may be subject to availability and additional charges.
4. Client responsibilities
- Provide accurate, complete and timely information
- Provide original or source documents when required
- Pay government and third-party costs when due
- Respond to material questions within agreed timeframes
- Attend appointments as agreed
- Authorise AVA and external professionals only for the work actually agreed
Delays or additional cost may arise from incomplete documents, inconsistent or false information, late client responses, missed appointments or changes in government requirements. AVA may request additional information where reasonably necessary to complete the agreed work.
5. Government and third-party decisions
AVA can coordinate and assist with administrative processes but cannot control decisions made by government authorities, embassies, airlines, banks, landlords, professional advisers or other third parties.
Therefore, AVA does not guarantee:
- Visa, residency or work-permit approval
- Licence or company registration approval
- Bank account approval
- Property transaction approval
- Aviation permit approval
- School admission
- Any other third-party decision
Where an application is rejected or delayed by a third party, AVA will explain available administrative next steps within the agreed scope.
6. Translation and documents
Translation, certification, notarisation, legalisation and courier services are generally charged separately unless specifically included in the quotation. AVA may coordinate these services with third-party providers. The third-party provider remains responsible for the professional service delivered.
7. Appointments and attendance
Where physical attendance is included, the quotation will specify location, number of visits, purpose and included service time. Additional visits or substantially different requirements may be charged separately. Travel outside the agreed service area may incur additional transportation or travel charges.
8. Communication
Each client will have an agreed communication channel. AVA aims to respond to ordinary enquiries within one business day. Urgent, same-day, weekend or public-holiday requests may be subject to availability and additional charges. AVA is not an emergency service. For emergencies involving health, safety, police, fire or immediate danger, clients should contact the appropriate emergency service directly.
9. Changes and additional work
If requirements change after work has started, AVA may reassess the scope. Examples include additional applicants, documents, government visits, applications, jurisdictions, urgent processing or significant extra coordination. Any material additional fee will be communicated before proceeding where reasonably possible.
10. Cancellation
If a client cancels after work has commenced, fees relating to work already completed are generally non-refundable. Third-party payments, government fees, translation fees, courier costs and other external expenses may be non-refundable. For larger projects, cancellation terms will be specified in the individual engagement agreement.
11. Confidentiality and data
AVA treats client information and documents as confidential and uses them only for the agreed purpose, subject to applicable law and any required disclosure to authorities or authorised professional service providers. AVA may retain copies of relevant working documents, correspondence, receipts and records for administrative and service purposes. Clients should only provide information reasonably necessary for the service requested.
12. Service completion
A project is considered complete when the agreed deliverables have been provided and the agreed administrative or coordination work has been completed. A pending decision by a government authority or third party does not mean that the AVA service remains incomplete, provided AVA has completed its agreed responsibilities.
13. Integrity
AVA maintains a hard-stop policy against nominee arrangements, circumvention of foreign-ownership restrictions, fabricated or altered documents, and any request to conceal material facts. Material risk is escalated; it is not normalised or hidden.
14. Custom services
Not every requirement fits a standard package. For complex matters, AVA can prepare a custom Scope of Work and quotation based on the number of people and applications involved, complexity, authorities or third parties, physical attendance, timeline and ongoing support requirements.
